Refund Policy

Clear terms for cancellations, rescheduling, returns, and defective items.

1) Who this policy covers

This Refund Policy applies to photography services and any physical/digital products offered by Meadow Crest Works (“we”, “us”, “our”). It should be read together with our Terms & Conditions.

2) Service retainers and bookings

  • Retainers are typically non‑refundable. A retainer secures a specific date, and we may decline other work for that time.
  • If we must cancel for reasons within our control and cannot offer a suitable alternative, we will refund fees paid for undelivered services, including retainers.

3) Cancellations and rescheduling

  • Client cancellations: fees already incurred (planning, permits, travel) are non‑refundable. Additional cancellation charges may apply depending on notice given.
  • Rescheduling: we will use reasonable efforts to reschedule. Retainers may be transferred one time at our discretion, subject to availability and any price changes.
  • Weather/illness: for outdoor sessions, we may suggest alternative timing or locations. If rescheduling is not possible, we will discuss fair resolutions case‑by‑case.

4) Physical products (prints, albums)

  • Custom items (prints, albums, framed pieces) are made to order and are not eligible for returns or refunds except in cases of manufacturing defects or damage in transit.
  • Defects/damage: notify us within 7 days of delivery with order details and photos of the issue. We will repair, replace, or refund at our discretion.
  • Color/trim tolerances: minor variations due to screen calibration, paper stocks, and trimming tolerances are normal and not considered defects.

5) Digital downloads and galleries

  • Digital products (e.g., downloadable images) are non‑refundable once delivered or accessed.
  • Faulty links or files will be re‑issued promptly at no charge once you report the issue.

6) EU/UK consumer cooling‑off

For certain distance contracts, consumers may have a 14‑day cooling‑off period. This does not apply to services already performed, custom goods already in production, or digital content once you have begun downloading/streaming after consenting to immediate supply and acknowledging loss of the right to cancel.

7) How to request a refund or report an issue

  • Email [email protected] with your name, order/session reference, and a description of the issue. For products, include clear photos of defects/damage and packaging.
  • Do not return items without contacting us first; unauthorized returns may not be accepted.
  • If a return is authorized, we’ll provide instructions and a return address. Items must be returned in original or equivalent protective packaging.

8) Refund method and timing

Approved refunds are issued to the original payment method. Processing times vary by bank/provider; please allow up to 10 business days after approval for funds to appear.

9) Shipping costs

Original shipping charges are non‑refundable unless the return is due to our error. For defective items, we will cover reasonable return shipping costs or provide a prepaid label when applicable.

10) Chargebacks

If you initiate a chargeback, we may suspend access to galleries or halt production while the dispute is investigated. We aim to resolve issues directly and fairly—please contact us first.
